For accounting firms and bookkeeping firms
Automation for accounting firms that can't keep hiring admin
Pulse builds the onboarding, data-entry and records-chasing systems that get a new client from “yes” to fully set up the same day, and stop your fee earners typing the same details in three times.
Accountants are qualified to advise, not to type the same client in three times
Most practices with 2–10 people lose hours every week, per person, to admin that has nothing to do with accounting: getting a new client from “yes” to a record, folders and engagement letter that are all in place, re-keying the same client details into the practice software, the AML platform and a spreadsheet, and chasing records for year-end and CRA filing quarters. That is exactly where a growing client list turns into a capacity ceiling long before the practice is genuinely “too busy” to take on more fees.
- A new client’s record, folders and engagement letter set up by hand, days or a week after they said yes.
- The same client details re-keyed into practice management, AML checks, corporate registry filings and the CRM.
- Partner or admin time spent chasing records and ID by email and phone.
- Job status tracked in someone’s head, an inbox, and a spreadsheet that only gets updated when someone remembers.
- Deadlines managed by memory and last-minute chasing rather than a system that chases for you.
What changes when the admin runs itself
Before
Prospect inquires → engagement letter drafted by hand → client asked for ID and records by email → chased by phone two weeks later → records arrive piecemeal and are filed manually → job status updated in practice software when someone gets round to it → month-end WIP and deadline reports compiled by hand.
After
Prospect inquires → engagement letter, ID request and onboarding pack sent automatically → client gets a structured records-request sequence with reminders until everything is in → documents read, filed and logged against the job → status updated in practice software the moment something changes → deadline and WIP reports land in your inbox every Monday without anyone compiling them.

What we build for accounting firms
Client onboarding & AML workflows — engagement letter, ID verification request and welcome pack sent and tracked automatically from the moment a prospect says yes, with the client record and folders created at the same time.
Practice software kept current — client details, job status and deadlines updated from emails, forms and uploads instead of being re-keyed.
Records and document chasing — year-end, GST/HST and CRA filing records requested, reminded and filed to the job automatically, with one view of who still owes you what.
Client communication on rails — deadline reminders, filing confirmations and “we’ve received your records” messages sent for you, in your tone.
Weekly reporting — outstanding records, jobs at risk of missing a deadline and WIP by client compiled and sent automatically.
What changes
- New clients set up the same day they sign, with nothing typed by hand.
- Client details entered once and correct everywhere, instead of three times with three versions.
- Records arrive earlier, because the chasing never stops and never depends on someone remembering.
- Fewer deadline scrambles in January and at quarter-end.
- More jobs per fee earner without a new admin hire.
- One accurate view of every job’s status, without anyone updating a spreadsheet.
Real systems, built for practices like yours
Four systems we have already built that map directly onto practice work:
- Turn client documents into complete records, with zero typing — uploaded documents read, extracted and filed automatically, with a full audit trail.
- New clients onboarded the same day they sign — signed engagement in, client record, folders and onboarding brief out, team notified.
- Cut no-shows on booked calls without anyone chasing — intake form and SMS reminder on every booking.
- Never lose client context between calls again — every call summarised, logged and turned into a drafted follow-up.
These were built for other service businesses with the same problems. Your revenue leak map shows which one applies to your practice first.

Before you book a call
- Does this work with our practice software?
We build around what you already use. Most practice-management, bookkeeping and tax software has usable connections; if yours doesn't, we work through email, forms and shared folders instead. Nothing gets replaced.
- Is this compliant with AML and professional body requirements?
Pulse builds the administrative automation around your existing AML and engagement process — requesting, reminding and filing. We do not provide regulatory or professional advice, and any compliance-sensitive step is built in consultation with whoever owns compliance in your practice.
- Where does our client data go?
Only where a workflow needs it, using revocable connections rather than shared passwords, inside the systems you already own. We'll name the exact tools and permission model on the call.
- Can this replace an accountant's judgement on a job?
No. This is administrative automation — chasing, filing, updating and reporting. The accounting stays with your team.
- Do you work with practices outside the Canada?
Yes. This page is written for Canada practices; see the US site or Canada site for firms in North America.
